Are you a dynamic and detail-oriented professional ready to make a significant impact in the healthcare industry? AQUA Dermatology is seeking a highly motivated Recruiting CoordinatorΒ to join our team and support our recruiters in finding and engaging top talent.

The Recruiting Coordinator plays a critical role in supporting our recruiting team. Collaborating closely with recruiters, hiring managers, and candidates, you will ensure a smooth and efficient VIP hiring experience. Your role involves handling the logistics of recruitment, improving processes, and providing administrative support, allowing our recruiters to focus on finding and engaging top talent.

Essential Functions

  • Candidate Pipeline Management: Assist recruiters in managing candidate pipelines by updating and maintaining the Applicant Tracking System (ATS).

  • Document Preparation: Prepare job descriptions, interview agendas, travel communications, job postings, and other relevant materials promptly.

  • Sourcing Efforts: Conduct initial sourcing efforts to identify and attract qualified physicians and APP’s through networking, marketing campaigns, job postings, social media, referrals, and cold calls.

  • Interview Coordination: Coordinate interviews with candidates, key stakeholders, and hiring managers. Debrief with hiring managers and recruiters to discuss candidate feedback and next steps.

  • Logistics Management: Manage interview logistics, including travel arrangements for candidates, and ensure a welcoming VIP experience during onsite interviews.

  • Reporting & Metrics: Track and report on recruitment metrics such as candidate response rates, time-to-fill, and recruiter productivity. Assist in generating data-driven reports to optimize recruitment strategies.

  • Documentation: Keep recruitment process documentation up-to-date and assist in developing Offer Term Sheets, Contracts, and onboarding materials.

  • Onboarding Support: Support onboarding activities to ensure a smooth transition for new hires into the organization.

Required Education and Experience

  • Bachelor’s degree preferred.

  • 1-2 years of experience in recruiting, HR, or administrative support preferred.

Additional Eligibility Qualifications

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • Excellent written and verbal communication skills.

  • Familiarity with Applicant Tracking Systems (Bullhorn, ADP) and scheduling tools.

  • Excellent communication and interpersonal skills, with the ability to build relationships and collaborate effectively with stakeholders.


Other Position Details:

  • Remote but local to South Florida
  • Occasional work at Corp HQ in Palm Beach Gardens, local practices, career fairs and meetings will be required.Β
