Reporting to the Human Resources Manager, the Human Resources and Talent Acquisition Coordinator acts as an organizational ambassador, utilizing strategic sourcing techniques to build and manage diverse candidate pipelines. The incumbent will provide HR and Administrative support to the Human Resources department focusing on the administration of employment processes, benefits administration, employee relations, supporting the HRIS system and ensuring HRIS data is accurate, up to date and in compliance with the Collective Agreements.

 

POSITION RESPONSIBILITIES AND DUTIES

  • Support the Agency with full cycle recruitment focusing on minimizing barriers and following equitable and inclusive practices; manage and track recruitment requisitions, update job descriptions as required, post vacancies via Applicant Tracking System (ATS), review resumes and match applicants’ skills with job requirements, schedule interviews with hiring managers, prepare interview guides, complete initial candidate screening where required, interview follow ups, conduct references and prepare and extend offers to successful candidates.
  • Provides interview back-up for the Human Resources Generalist where required.
  • Support all phases of an employee life cycle including; recruitment, promotion and transfer
  • Engage potential candidates using social media and representing the organization at job fairs and other applicable events
  • Utilize ATS to track, screen and communicate with candidates as well as monitor recruitment metrics, striving for continual improvement in the recruitment process
  • Support completion of applications for grant opportunities related to employment
  • Monitor and share research into best practices and trends including tools, training, and initiatives to support recruitment priorities.
  • Support management of volunteer and student placement programs
  • Coordinate New Hire Orientation for new staff by communicating with all required participants; manage orientation logistics.
  • Ensure internal compliance with probationary period and orientation period processes
  • Prepare, maintain and update personnel files, including new hire files, managing confidential information as required
  • Provide administrative and system support to the Human Resources Generalist for employee leaves
  • Organize logistics and activities for employee training and development and provide HR support for the same
  • Verify employee qualifications by following up with professional colleges and associations on an annual basis
  • Monitor and maintain seniority lists in compliance with collective agreements
  • Provide administrative support for HR department in various team and organizational projects
  • Support HR Manager with policy system administration, ensuring employee compliance
  • Provides administrative support for the Joint Occupational Health and Safety Committee, Labour Management Relationship Committee, Leadership Meetings, General Staff Meetings, JJE Committees and Annual All Staff Retreat.
  • Provides general information to employees relating to their questions, concerns or suggestions.
  • Provides administrative support in the absence of the Executive Assistant and Board Liaison as required
  • Assumes other duties as assigned and which are within the scope of the position and which further the objectives/goals of the departments



EDUCATION & SKILLS

  • Completion of a post-secondary education in Human Resources Management, Business, or related field required.
  • Minimum of two (2) years of recent relevant experience supporting a Human Resources department.
  • Current membership with the Human Resources Professionals Association is an asset.
  • Experience working in a unionized environment would be an asset.
  • General knowledge of human resources information systems and Human Resources practices would be an asset.


Hours of Work:       Thirty-Five (35) hour work week. The agency’s hours of operation are Monday to Friday, 8:30 a.m. to 4:30 p.m. Flexible hours are required to meet service needs.

 

Salary range:          $53,336 – $65,452 annually

                                 Compensation within the range will be based on the experience of the incumbent.
