Position Summary:

The Talent Acquisition Specialist is a critical support member of the Human Resources team, driving day-to-day recruiting and onboarding initiatives. This will include: talent acquisition, applicant tracking and HRIS administration, onboarding, compliance, recruiting KPI reporting, and more. They will be responsible for all sourcing and resume review, phone screening, interview scheduling, and supporting candidate selection, as well as handling the offer process. The Talent Acquisition Specialist role will be hands-on and involved in ensuring a positive candidate and onboarding experience for new hires. They will partner with the HR team with regards to all “first 90 day” programs, including program design and facilitation. The TA Specialist will become a super user in our HRIS Paycom, specifically with applicant tracking, onboarding, and reporting.

This role will report to the Director of Human Resources and will work closely with the broader HR team and partner with hiring managers throughout the organization.

Position Responsibilities:

  • Talent Acquisition
    • Lead all recruiting efforts for Aventia, including professional/consulting and field/non-exempt roles
    • Partner closely with HRBP for annual seasonal recruiting initiative, supporting the timely hiring of 60+ seasonal field workers each year
    • Proactively source candidates using LinkedIn Recruiter and other recruiting tools, increasing candidate volume, and streamlining job board utilization
    • Meet with hiring managers to conduct intake meetings, provide interview training, and to gather feedback throughout the recruitment process
    • Maintain applicant tracking system, including posting and maintaining open job requisitions
    • Drive applicant and candidate engagement through social media postings and increasing our employment brand awareness within our industry
    • Provide recommendations to managers regarding complex and challenging searches
    • Partner with Director of Human Resources to set and execute talent acquisition strategy in support of organizational goals and to identify and hire top talent
    • Facilitate full cycle recruiting efforts: candidate sourcing and resume review, conduct initial phone screens, schedule and coordinate virtual and in-person interviews, etc.
    • Manage offer process including obtaining internal approvals, drafting offer letters, and extending offers to candidates; lead salary negotiations while collaborating with hiring managers
    • Drive recruiting process and timelines, holding hiring managers accountable at each step of the process to shorten time-to-fill
    • Communicate with candidates and ensure a timely and positive candidate experience
    • Establish candidate evaluation process to systematically measure potential and identify top tier talent
    • Maintain job descriptions for all positions, working with hiring managers to update existing or create new job descriptions, as needed
    • Provide weekly recruiting reports highlighting recruiting metrics and activity and role prioritization, including: candidates sourced, phone screened, interviewed, etc.
  • Employment Brand Management
    • Administer online reputation management (Glassdoor, Indeed, etc.) by responding to employee and candidate reviews with oversight of the Director of Human Resources
    • Utilize online platforms to increase employment brand visibility (i.e., LinkedIn posts, company and career pages, etc.)
    • Attend career fairs, university hiring events, and increase university relations to strengthen talent pipeline
  • Onboarding
    • Lead onboarding activities including: initiating onboarding process in Paycom, internal communication to IT, administration, etc., I-9 and E-Verify administration and compliance, tax surveys, and new hire paperwork
    • Manage new hire workflow and responsibilities within Paycom; Identify opportunities to streamline the onboarding process
    • Process pre-employment background screening and drug testing; administer random drug testing program, as applicable
    • Conduct new hire orientation
    • Partner with hiring managers to schedule and plan the new hire’s onboarding and training schedule to ensure the team is prepared for the new hire’s first day and week
    • Audit the new hire process for accuracy, completion, and compliance
    • Partner with HR team to support introduction of enhanced onboarding programs, including but not limited to a buddy program, 90-day onboarding, Employee Value Proposition (EVP), etc.
  • General People & Culture Support
    • Serve as a champion of our company culture including supporting a people-first culture throughout all interactions with internal and external parties
    • Maintain HR records and employee files while keeping files organized and maintaining strict confidentiality
    • Utilize HR data and compile reports from the HRIS (Paycom)
    • Assist Director of Human Resources with HR projects; Additional responsibilities, as assigned

Experience/Education Requirements:

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field is strongly preferred
  • Minimum of 3-5 years of recruiting experience; or 6+ years of recruiting and professional experience without a degree
  • Advanced Microsoft Office Suite skills, including Excel and PowerPoint, or equivalent
  • Intermediate HRIS/ATS and reporting experience (Paycom experience a plus)
  • HR or TA certification, preferred
  • Up-to-date knowledge of employment practices, federal and multi-state employment laws

Salary range: $65,000 - $80,000 based on qualifications and experience
