The Recruiting Operations Specialist is responsible for driving operational excellence and innovation within the Talent Acquisition function by  owning and optimizing key recruiting technologies and workflows that shape how we hire top talent.


This position offers three key areas of work that tie together to make our recruiting efforts successful. Reporting to our Head of Talent Acquisition, the Recruiting Operations Specialist will own the Talent Acquisition team’s programs end-to-end from development through implementation, operation and refinement. Additionally, they will own the strategic and tactical administration of our Employer Branding Initiatives. Finally, this role will drive initiatives around ensuring the team is using its current technology tools effectively and to their full potential.


Employer Branding 

  • Tell the story of our company by designing and implementing new processes and initiatives to enhance candidate experience.
  • Develop branding campaigns to market the family of companies (“FoC”) as premier employers in their respective spaces.
  • Own and monitor FoC’s employer online presence and reputations including online employee review boards; 
  • Regularly manage the review and response to employee reviews in a timely manner
  • Own Employer Branding Scorecard
  • Implement plans and processes to ensure consistent review activity
  • Stay up to date on current market trends through external research and benchmarking in the areas of candidate experience and competitor branding strategies.

TA Processes and Tools 

  • Create and manage the TA Playbook and associated SOPs/Process guides, templates, etc. Regularly review for updates and ensure team compliance.
  • Own and manage other shared tools and resources (Paylocity ATS, SharePoint, OneDrive).
  • Recommend and implement optimization strategies and practices within the TA function.
  • Monitor ATS data and recruiter behaviors in relation to the implementation of new processes/technologies to ensure compliance. 
  • Advance our use of data and reporting out of Paylocity ATS.
  • Manage vendor accounts and act as point of contact for key vendors.
  • Research & recommend new vendors and technologies as needs arise.
  • Facilitate seamless coordination between TA and HR Ops.

Additional Recruitment and Enablement 

  • Fully own end-to-end recruiting process for assigned requisitions as needed
  • Provide ad hoc support to recruiters as needed, including screening, interviewing, onboarding, and liaising with hiring managers.
  • Create tools and templates to enable successful recruitment activities and positive candidate experience
  • Draft/revise email templates
  • Create collateral – i.e. benefits summaries, social post templates, etc.
  • Manage offer letter templates and verbiage
  • Manage Employee Referral and Internship Programs


Requirements

3+ years of experience working in a Talent Acquisition role to include:

  • 2 years of hands-on recruiting experience
  • Operations experience – managing an Applicant Tracking System(ATS) as a system admin, configuration/upgrade/implementation experience
  • Familiarity with and ability to report on key Talent Acquisition metrics – you know how to create and run reports on key metrics like Source of Hire, Pipeline metrics, Time to Fill, etc. 
  • 1-2+ years’ experience and exposure to Employer Branding practices and principles
