About the role:
As a Talent Acquisition Coordinator, you ensure every part of the hiring journey runs smoothly.

You’ll own interview scheduling, candidate communication, offer issuance (including contracts), and onboarding management — creating a seamless, organised, and values-led experience from first interview through to the new hire's start date.

This role is central to protecting candidate experience and enabling our TA Partners to focus on sourcing and hiring strategy. You’ll bring structure, precision, and warmth to every interaction.
You’ll work across markets, supporting both operational and senior hiring activity.

  • Build relationships with TA Partners, Resourcing Partners, hiring managers, and People Operations.
  • Become confident using Pinpoint and HiBob to manage interview and offer workflows.

  • Coordinate interviews across teams and time zones with precision.
  • Ensure candidates receive timely, clear, and supportive communication.
  • Maintain accurate ATS stage progression and feedback tracking.
  • Support smooth offer-to-onboarding transitions.

  • Champion a warm, human candidate experience at every touchpoint.
  • Ensure structured interview packs and feedback forms are prepared and returned on time.
  • Identify scheduling bottlenecks and improve coordination efficiency.
  • Maintain high data accuracy across recruitment systems.
  • Support continuous improvement in candidate experience and process flow.

Key Goals & Objectives:
  • Deliver seamless interview scheduling with zero missed or delayed interviews.
  • Maintain high candidate satisfaction and positive feedback.
  • Ensure 100% interview feedback completion within agreed timeframes.
  • Support ≤30-day average time-to-hire through efficient coordination.
  • Maintain accurate and up-to-date ATS data across all live roles.
  • Ensure smooth, compliant offer and onboarding documentation processes.

Key Responsibilities


Key Responsibilities:
  • Coordinate interviews across multiple stakeholders and time zones.
  • Manage diary scheduling, room bookings, and virtual interview logistics.
  • Prepare and distribute interview packs and structured evaluation forms.
  • Act as a primary point of contact for candidates during interview stages.
  • Send clear, timely communication including confirmations, preparation guidance, and follow-ups.
  • Take ownership of the end-to-end offer process, including issuing offer letters and contracts, and coordinating right-to-work documentation.
  • Maintain accurate ATS records and stage progression in Pinpoint.
  • Track and chase interview feedback to ensure timely hiring decisions.
  • Manage the full candidate onboarding process in partnership with People Operations, ensuring a seamless start for all new hires.
  • Role-model organisation, warmth, and attention to detail in every interaction.


Essential Skills & Experience:
  • 1–3 years’ experience in recruitment coordination, HR administration, or similar.
  • Exceptional organisation skills and attention to detail.
  • Strong written and verbal communication skills.
  • Confident managing multiple diaries and stakeholders.
  • Experience using ATS platforms (Pinpoint preferred).
  • Calm, solutions-focused mindset with strong prioritisation skills.
  • Genuine care for delivering a brilliant candidate experience.
