About the Work


We’re looking for a Talent Acquisition Coordinator to support our hiring lifecycle through exceptional coordination and behind-the-scenes recruiting operations. In this role, you’ll manage ATS workflows, maintain accurate candidate data, schedule interviews, prepare hiring materials, and help ensure each step of the process runs smoothly. You will also partner closely with our Talent Acquisition Specialist and support the hiring needs across the organization.


This position is ideal for someone with at least one to two years of experience in recruiting coordination or HR operations, who thrives in organization, communicates clearly, and keeps multiple details aligned. Your work will play a key role in supporting a positive candidate experience and helping our hiring teams make well-informed decisions.


Responsibilities

Recruitment Coordination & Support

  • Post job openings across various platforms and monitor candidates in the ATS
  • Assist with sourcing efforts across job boards, social media, and other channels
  • Review resumes for basic qualifications and according to established criteria and TA Specialist for guidance.
  • Schedule interviews, coordinate logistics, prepare materials, and manage communication
  • Complete initial phone screens and submit a written assessment of the candidate’s qualifications, interest, and values alignment for further review
  • Maintain accurate and organized candidate records within the ATS

Administrative Support

  • Manage and maintain accurate candidate records, job setups, and interview stages within Greenhouse (ATS).
  • Provide administrative support in Greenhouse, including candidate routing, reporting, and hiring workflow organization.
  • Coordinate career fairs and recruiting events, including scheduling, logistics, materials preparation, and occasional attendance.

Process Improvement & Learning

  • Participate in recruiting meetings and contribute ideas for operational improvements
  • Apply Planning Center’s values in all candidate interactions
  • Seek feedback and coaching to deepen your skills in people operations and hiring support
  • Stay up to date on talent acquisition best practices, tools, and trends
  • Build knowledge of Planning Center’s culture, business, and hiring needs

Compliance

  • Follow established compliance processes and documentation requirements, ensuring accurate ATS tracking, complete candidate records, and adherence to employment laws and internal hiring policies
  • Maintain strict confidentiality of all candidate information

The Hiring Process

During the hiring process, you’ll have a chance to interact with several members of our team. We strongly encourage you to bring any questions to anybody you interact with. You’re interviewing us as much as we’re interviewing you.

Below is an outline of the steps in our hiring process.

  • Step one: Apply with your resume and thoughtfully complete the application questions—no AI assistance, please. This helps us get an authentic sense of who you are and what excites you.
  • Step two: Initial Interview (via Zoom) You’ll meet with our Talent Acquisition Specialist to talk through your background and experience, and you’ll also have time to ask questions about the role and Planning Center.
    Step three: We’ll send you a short assignment that helps us understand how you approach the coordination and operational aspects of this role.
  • Step four: Initial Team Conversation (via Zoom) You’ll meet with a few members of our team for a collaborative, welcoming conversation where we can learn more about you, your experience, and what you’re looking for next. It’s also a great chance for you to get a feel for how we work.
  • Step five: You’ll meet with our Talent Acquisition Specialist and the Director of People Operations. This conversation helps us go a bit deeper into how you work, your priorities, and how you would partner with our team on a daily basis. It’s also a space for any remaining questions you may have.
  • Step six : If all goes well, we'll extend an offer


Requirements

  1. Reside in the United States
  2. Eligible to work in the United States (we are currently unable to offer employment to those with H-1B visas)
  3. Be willing to travel three times each year to connect with the rest of the team
  4. At least one year of hands-on experience with recruitment software—either using it as an end-user or configuring system workflows. Experience with Greenhouse is a plus
  5. At least one to two years of experience in recruiting coordination or HR operations
  6. At least one year of experience managing interview scheduling, calendar coordination, and candidate or hiring-team logistics.
