Overview

The Talent Acquisition Administrator - CSS plays a key role in supporting the Talent Acquisition team by working closely with new hires during the post-offer and contingencies phase. This position involves overseeing a range of contingencies, including non-licensed/licensed fingerprinting, TB tests, health screenings, drug tests, education verifications, driver clearances, and BBS license verifications. The Talent Acquisition Administrator is responsible for maintaining effective communication with the TA team, HR Representatives, and hiring managers to provide regular contingency updates for candidates prior to onboarding.

 

Additionally, the Talent Acquisition Administrator works closely with candidates to ensure the timely completion of all contingencies, troubleshoots any issues along the way, and ensures proper documentation is maintained for all clearance processes. This role requires attention to detail, strong follow-up skills, and the ability to maintain clear and organized records throughout the process.

SCHEDULE:

  • This position is Monday – Friday, 8AM – 4:30PM, with a 30-minute lunch break.

WORK DESIGNATION

  • Remote with monthly meetings (must work within San Diego County Region)
    • Please note that the work designation may change based on business needs.

 

Responsibilities

  • Support Talent Acquisition Team in administrative duties throughout recruitment process
  • Provide administrative assistance to teammates during peak seasons
  • Track and record progress of candidates through recruitment process
  • Send, receive and act on communications with candidates to support candidate progression
  • Collect necessary documentation to place internal and external candidates
  • Assist applicants with basic troubleshooting of job board and application process
  • Represent the YMCA at community events, such as job fairs, tabling and other candidate engagement events
  • Other duties as assigned

 

Qualifications

  • High school diploma or GED
  • 6 months of administrative experience

JOB COMPETENCIES:

  • Experience with Microsoft Office Excel
  • Strong customer service skills
  • Ability to manage multiple daily tasks for timely completion
  • Ability to work autonomously in a proactive manner with minimal supervision
  • Attention to detail with minimal errors in record keeping to ensure accurate data

PRE-HIRE CONTINGENCIES:

  • Licensing, state law and our government funders are required that all staff (hybrid, remote, or onsite) within YMCA San Diego County are fingerprinted, prior to reporting to work, and include subsequent arrest notifications. 
  • CPR and First Aid certification is required within 30 days of hire and must be from one of the following certifying organizations: American Red Cross, American Heart Association or American Safety & Health Institute.

Pay Range

USD $19.69 - USD $23.63 /Hr.
