General Description

The Talent Acquisition Assistant will be a key member of the Talent Acquisition team at US. He/she will perform administrative tasks and services to support effective and efficient operations of the organization’s talent acquisition department. The person works closely the Talent Acquisition Manager along with a team of recruiters, generalists, hiring managers supporting the recruiting activities and building candidate relationships as part companywide, high volume hiring efforts.    Ultimately, the person in this role will be the glue that keeps the department smooth and ensure we support those who are working to recruit and retain high-performing employees.

 

About You

You should be a person who enjoys working with people. Be well organized and be able to coordinate multiple tasks and projects at the same time. You should have the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Be a self-discipled, independent worker. 

 

Minimum Qualifications

  • High School degree/GED
  • 1 year of experience in the HR field 
  • 2 years of experience as an administrative assistant 
  • Familiarity with Applicant Tracking Systems and resume databases
  • Exceptional Oral and Written Communication 
  • Knowledge of MS Office: Word, Excel, PowerPoint, and Outlook

Preferred Qualifications

  • Associate’s degree in business management or related field
  • Bilingual in English and Spanish

 

 

 

 

What You’ll Be Doing

  • Maintains accurate and up-to-date applicant documentation. 
  • Answers frequently asked questions from internal staff or candidates on recruiting process and refers more complex questions to appropriate senior-level HR/TA staff or management. 
  • Maintains the integrity and confidentiality of HR related information they come across and/or are exposed to.
  • Works with TA Manager to prepare reports for various stakeholder groups on new hire metrics (i.e., time-to-fill, time-to-hire and source of hire, etc)
  • Helps design candidate experience surveys and analyze feedback 
  • Coordinate interviews and contact applicants, as needed to support recruiting staff
  • Liaison with staff to remind about daily application review, scheduling DNA screenings and second interviews to ensure our internal hire decision time line is met. 
  • Sends out an email at the end of every day to Program Assistants to remind them about status updates needed on applicants, and that all candidates that have received an offer in the last 24 hours have receive instructions for pre-hire onboarding/background authorizations. 
  • Coordinate with communications team to ensure our job announcements are posted in a timely fashion
  • Keeps a database of college job boards to post open jobs  
  • Sends out the monthly job alerts to subscribers
  • Assisting in the coordination of other recruiting activities and events as needed
  • Performs other duties as assigned.
