The Executive Talent Specialist is an integral member of the Executive Talent hiring team which is responsible for movement within the global executive level population at Thermo Fisher Scientific. This role is responsible for the providing professional level support to the Executive Recruiting team as well as internal and external candidates throughout the recruiting and onboarding process.

A day in the Life:

  • Offer high-touch support and communication to the Executive Recruiting team, hiring managers, and executive candidates throughout the executive search and hiring process.
  • Coordinate interview schedules (via phone, in-person, video conference), arrange travel, and act as a point person for all executive interviews, including concierge level support for high profile candidates.
  • Establish relationships and partner frequently with the executive team members to provide delivery to clients and an outstanding candidate experience.
  • Maintain electronically the entire suite of Executive Search work including job descriptions, templates, forms, and critical client and candidate information.
  • Provide solutions and recommendations for any increased candidate or internal client feedback, issues or concerns.
  • Lead administrative steps for opening, posting and closing requisitions as needed
  • Coordinate, update, and maintain resource information within the applicant tracking system, including tracking/maintenance of candidate and requisition records.
  • Prepare offers of employment, initiate and coordinate pre-employment background checks and drug screens, and bring together all new hire information.
  • Facilitate all External Search Firm relationships. Assist in leading the search process and coordinating all meetings and interviews with the Executive Talent Acquisition (ETA) team and all partners.
  • Develop and drive approval process for job requisitions, employment offers, and other administrative tasks as needed.
  • Facilitate and participate in entire process of executive search, including but not limited to intake meetings, weekly and/or bi-weekly update calls, debriefs, etc.
  • Participate in crafting and maintaining operational processes to support compliance with company policies and legal requirements. Maintain executive tracking and reporting documents/spreadsheets.

Education & Experience

  • Bachelor’s Degree preferred or equivalent experience
  • Preferred 5+ years of Coordination and/or Administrative Support

Knowledge, Skills, Abilities

  • Excellent verbal and written communication skills
  • Expertise working within applicant tracking systems (preferably Workday, HRIT systems, and enterprise travel systems (preferably Concur).
  • Proficiency in Microsoft Office Suite, including Outlook.
  • Demonstrable knowledge of HR compliances such as EEO, GDPR, and any other regional or global compliance regulations.
  • Ability to work at a fast pace with accuracy and attention to detail.
  • Demonstrated capability to work well within a team and comfortable in navigating a highly matrixed organization.
  • Problem-solving and confidence in decision-making ability.
