The Recruiting Coordinator – Exempt Hiring is responsible for delivering a seamless, compliant, and high-touch candidate and hiring manager experience throughout the recruiting lifecycle. This role supports corporate functions (IT, Finance, Accounting, HR), Sales, Field Leadership, and other exempt-level roles across the U.S. and Canada.
This position plays a critical role in interview logistics, ATS accuracy, offer execution, background screening coordination, and candidate communications—ensuring process discipline, data integrity, and strong stakeholder alignment in a fast-paced, PE-backed environment.
Key Responsibilities
1. Interview & Candidate Experience Management
- Coordinate complex interview scheduling (virtual and onsite) across multiple time zones and senior stakeholders.
- Manage executive-level calendar alignment with professionalism and discretion.
- Serve as the primary point of contact for candidates throughout the interview process.
- Ensure timely, high-quality candidate communications that reflect AWP’s employer brand.
2. ATS & Process Excellence
- Maintain data integrity in SmartRecruiters ensuring accurate dispositioning and compliance documentation.
- Track candidate progression against SLAs and time-to-fill targets.
- Partner with recruiters to ensure requisition hygiene, status accuracy, and reporting reliability.
- Support requisition intake logistics and interview debrief documentation.
3. Offer & Pre-Employment Administration
- Draft and route offer letters for approval.
- Coordinate background checks, employment verifications, and other pre-employment requirements.
- Monitor completion timelines and escalate issues proactively.
- Partner with HR and onboarding teams to ensure smooth transition from offer to start.
4. Stakeholder & Recruiter Support
- Support Senior Recruiters managing exempt and leadership searches.
- Provide hiring managers with process guidance and timeline transparency.
- Maintain high standards of confidentiality when supporting executive-level roles.
- Identify process improvement opportunities to increase speed, reduce friction, and elevate experience.
5. Metrics & Continuous Improvement
- Monitor interview scheduling cycle time and offer turnaround SLAs.
- Support reporting needs for weekly TA leadership reviews.
- Contribute to workflow optimization and automation initiatives (e.g., AI scheduling tools, standardized templates).
- 3+ years of recruiting coordination or HR operations experience supporting exempt or professional hiring.
- Experience working within an ATS (SmartRecruiters, Workday, iCIMS, etc.).
- Strong organizational and calendar management skills.
- High attention to detail and documentation accuracy.
- Ability to operate effectively in a fast-paced, growth-oriented environment.
- Professional communication skills (written and verbal).
Preferred
- Experience supporting leadership or executive searches.
- Experience in multi-site or operationally complex organizations.
- Familiarity with background screening processes and compliance requirements.
- Exposure to AI-enabled recruiting tools (e.g., Paradox or similar technologies).
- Experience in private equity–backed or high-growth environments.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
- The employee must be able to successfully handle the physical demands of this position, which include the following:
- Hours of operation are M-F, 8 a.m.- 5 p.m.
- 40-hour work week Primarily sedentary or working at a desk
- Occasionally lift and move 10 -25 pounds
- While performing duties of this job, the employee is regularly required to talk or hear
