POSITION SUMMARY
 
The Talent Acquisition Coordinator serves as the primary support to the Talent Acquisition Partner (TAP) as a direct report and will work closely with the Human Resources team to drive strategic talent solutions and initiatives across all corporate departments, which includes our annual internship program.

This role will source, recruit, and onboard top talent to meet business goals and enrich company culture. The Talent Acquisition Coordinator will manage recruitment operations and maintain Lever, the Applicant Tracking System (ATS), records and candidate data integrity. Additional responsibilities include communication of candidate status updates, creation of recruitment analytics, and general recruitment administrative tasks.
 
By delivery of talent solutions to hiring managers, the Talent Acquisition Coordinator directly supports Empire State Realty Trust’s continued business growth and hiring quality.

RESPONSIBILITIES

    • RECRUITMENT:
    • Assist in the full-cycle recruitment process for corporate hiring
    • Document intake meetings with hiring managers
    • Post job descriptions accurately through the ATS, ensure integration with external job boards, and maintain all documents within SharePoint
    • Enter requisitions into the ATS for headcount approvals
    • Assist with the creation of detailed feedback forms for all roles
    • Review resumes to identify quality candidates in coordination with the TAP
    • Conduct recruiter screens for summer intern candidates and additional assigned roles as needed
    • Schedule all interviews and provide solutions on how to make recruitment scheduling more efficient
    • Own ESRT’s Talent Outlook inbox and help manage the calendar
    • Meet and greet candidates for onsite interviews to ensure candidates have a great first impression of ESRT
    • Schedule debrief meetings with interview panels in a timely manner for all onsite interviews
    • Generate and extend written offer letters to potential hires, with accuracy and timeliness in mind
    • Manage candidate information, which includes resumes and contact details, within the ATS to ensure efficiency and accuracy and perform regular audits
    • Generate regular reports on recruitment metrics for leadership
    • Ensure best practices are followed for a seamless and effective hiring process with candidate experience at the forefront
    • Serve as a brand ambassador and culture champion that embodies and promotes ESRT’s mission, values, and work environment
    • Organize and participate in job fairs and recruitment events to represent ESRT and engage with potential candidates
    • Create recruitment branding materials for events and online presence
    • Foster long-term connections with past applicants, potential candidates, and hiring managers to grow ESRT’s professional network and talent ecosystem
    • Support use of AI-enabled recruitment tools to enhance candidate search, resume evaluation, and recruitment workflow efficiency
    • Assist in various ad-hoc projects as needed

    • PREBOARDING & ONBOARDING:
    • Collaborate with the HR team and hiring managers to develop a best-in-class preboarding program for new hires
    • Partner with HR Coordinators to ensure seamless transition from preboarding to onboarding
    • Conduct reference checks and provide updates from the HR Coordinators on background checks, employment verifications, and other pre-employment checks
    • Communicate all updates to new hires during their onboarding period
    • Ensure all required actions are completed by hiring manager and IT in a timely manner in preparation for new hires start
    • Provide timely updates to TAP and HR on the status of all new hires in the onboarding stage
    • Manage sensitive and confidential matters like organizational changes and protect the security of information, data, and files

WHAT SUCCESS LOOKS LIKE

    • Support people-first recruitment and coordinate high-quality candidate experiences and help align talent with roles that match individual strengths and ESRT’s hiring goals
    • Execute recruitment operations with consistency and attention to detail to meet established standards for process quality, data accuracy, and compliance to support a 90-day time to fill and 45-day time to hire across corporate roles
    • Coordinate multiple hiring workflows with strong organization and prioritization to ensure interview schedules, approvals, and offers move forward efficiently and on timeline
    • Enable recruitment efforts through clear communication, timely follow-up, and reliable execution, with the ability to adapt to shifts in priorities and requests
    • Partner closely with the TAP and internal stakeholders to leverage tools, resources, and collaboration that keep hiring initiatives on track

REQUIRED SKILLS / ABILITIES

    • Demonstrate a strong sense of urgency, initiative, and problem-solving skills, with the ability to work autonomously and adapt quickly to shifts in needs and priorities
    • Leverage deep expertise in an ATS to optimize hiring workflows, scheduling, and overall efficiency
    • Support multiple concurrent processes with consistent, clear communication, strong collaboration, and reliable execution
    • Assist the TAP with documentation and maintain Standard Operating Procedures (SOPs) to reinforce best practices and improve hiring outcomes
    • Apply Human Resources principles, practices, and procedures to ensure compliance and strategic alignment
    • Utilize proficiency in an ATS, with preference for Lever, to effectively manage candidate pipelines and recruitment operations
    • Operate proficiently within the Microsoft Office Suite and related tools to enable accurate documentation, effective communication, and robust operational reports

EDUCATION & EXPERIENCE

    • Experience in full-cycle recruitment coordination/administration
    • Bachelor’s degree and/or equivalent experience
    • At least 2 years of experience in recruitment coordination and operations
    • Corporate environment preferred
    • Familiarity with AI-supported recruitment tools or talent platforms and awareness of guidelines for responsible use

    • Prolonged periods of sitting at a desk and working on a computer
    • Must be able to lift up to 15 pounds at times

$65,000 - $75,000 a year
Salary is based on several factors including but not limited to education, work experience, job location, size of property where applicable, and/or certifications. In addition to your base salary, ESRT provides discretionary annual bonuses.
