About the Role

Home of Guiding Hands is seeking a proactive, detail-oriented, and results-driven Talent Acquisition Coordinator to join our People Operations team. In this role, you’ll play a key part in shaping a positive hiring experience by managing internal applications, coordinating interviews, and partnering with staffing agencies to meet organizational staffing needs.

As a vital connector between candidates, hiring managers, and external partners, you’ll ensure every step of the recruitment process is efficient, timely, and aligned with our ICARE values.

What You'll Be Doing: 

Internal Applications:

  • Monitor and manage incoming internal job applications submitted via the company website or internal job portal.
  • Ensure all internal applicants receive timely communication and status updates throughout the recruitment process.
  • Coordinate interviews between internal candidates and hiring managers.
  • Track and report on internal mobility metrics and trends.
  • Ensure internal application policies and guidelines are followed consistently.

External Applicant & Job Posting Management:

  • Manage external candidate applications submitted through the company website and job boards.
  • Post job openings to external job boards and professional networks in coordination with the Marketing Manager.
  • Track performance of job ads and suggest improvements for reach and engagement.
  • Collaborate with the Marketing team to develop recruitment-related content and campaigns.

Temp Agency Coordination:

  • Serve as the main point of contact for all temporary staffing agencies.
  • Communicate staffing needs and job requirements to agencies clearly and promptly.
  • Coordinate the selection, onboarding, and offboarding processes for temporary workers.
  • Maintain accurate records of temp staff assignments, durations, and agency contracts.
  • Track agency performance, time-to-fill, and cost metrics, providing reports to HR and leadership.
  • Ensure compliance with labor regulations and company policies when working with temp staff.

General Talent Support:

  • Working alongside Onboarding -Talent Care Specialist
  • Maintain accurate data in applicant tracking systems (ATS) and other recruitment tools.
  • Experience utilizing UKG Pro Recruitment
  • Assist in the creation and posting of job descriptions as needed.
  • Provide administrative support to the Talent Acquisition and HR teams.
  • Collaborate with hiring managers to understand workforce needs and timelines.
  • Data Analysis and Reporting proficiency


Qualifications

What You'll Bring to the Role:

Preferred Qualifications:

  • Experience working with multiple temp staffing vendors.
  • Understanding of internal mobility programs and policies.
  • Familiarity with labor laws and contingent workforce management best practices.
  • Proficiency in UKG (Ultimate Kronos Group) software is highly desirable
  • We are seeking an individual that is passionate about contributing to team success and cross collaboration.

Knowledge, Skills, and Education

  • Bachelor’s degree in human resources, Business, or related field (or equivalent experience).
  • 2–3 years of experience in HR, recruiting coordination, or staffing agency liaison role.
  • Strong organizational and time management skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Experience working with applicant tracking systems and HRIS platforms.
  • Proficiency in Microsoft Office Suite and scheduling tools.
  • Ability to maintain confidentiality and exercise sound judgment.

Physical Requirements/Work Environment

This job operates in a standard office environment.  The employee is frequently required to stand, walk, and sit.  The employee may frequently move to interact with fellow employees and/or clients. Additionally, the individual may be required to lift objects weighing up to 50 lbs.

Home of Guiding Hands is a non-profit organization that was established in 1967 by a small group of dedicated and ambitious community members. The Mission of HGH is "to improve the lives of those we serve". We support children and adults in San Diego and Imperial Counties with intellectual and developmental disabilities, such as Down syndrome, epilepsy, autism, and cerebral palsy.
