Talent Acquisition Associate will be responsible for ensuring new hire files are properly approved and processed under OD’s hiring guidelines. Candidates will bring strong administrative expertise, preferably within an HR environment, and a thorough understanding of federal, state, and local compliance laws, including the Fair Credit Reporting Act, Ban the Box, Fair Chance Initiatives, and Clean Slate Laws. A solid understanding of HR compliance tools and systems, such as E-Verify, is also essential. The successful candidate will possess exceptional organizational skills, a keen attention to detail, and the ability to manage multiple priorities while meeting deadlines without compromising quality. Strong verbal and written communication, coupled with a commitment to maintaining confidentiality and handling sensitive information, are crucial to success in this role. 

Primary Responsibilities

  • Receive and audit new hire files for accuracy and approve files

  • Serve as the main point of contact for candidates during the pre-employment process, ensuring an excellent candidate experience.

  • Coordinate and process candidate background checks, pre-employment drug screenings, among other screenings.

  • Maintain professionalism and build strong relationships with hiring managers, candidates, and third-party vendors.

  • Prepare and verify the accuracy of new hire documents.

  • Maintain accurate and confidential records within the applicant tracking system (ATS).

  • Ensure new hire documents comply with DOT and company regulations and policies.

  • Assist Hiring Manager with I-9 documentation to ensure compliance with federal, state, and local regulations ​

Job Qualifications

Education:

  • High School diploma or equivalent required

  • Associate’s or Bachelor’s degree in Human Resources or related field preferred

Experience:

  • 1 year of experience in Talent Acquisition, Human Resources, or a related role.

  • Knowledge of federal, state, and local compliance laws related to hiring, such as Fair Credit Reporting Act, Ban the Box, Fair Chance Initiatives, Clean Slate Laws, etc.

  • Proficient with Microsoft Office Suite (Word, Excel, Outlook). Workday and MS Teams experience a plus

  • Knowledge of HR compliance tools and systems (e.g., E-Verify)

  • Strong verbal and written communication and interpersonal skills

  • Attention to detail and exceptional organizational skills

  • Ability to maintain confidentiality and handle sensitive information.

  • Ability to manage multiple priorities, meeting deadlines, and maintaining high attention to detail without compromising quality or professionalism

  • Work collaboratively within a team to support shared goals and ensure success.
