JOB SUMMARY: THE Talent Acquisition Coordinator provides operational and systems support to the Talent Acquisition Manager and HR leadership, managing the administrative backbone of the recruiting function so that Recruiters and TA leadership can focus on sourcing, candidate relationships, and strategy. This role owns requisition posting and ATS data quality, administers recruiting-related systems (Cangrade, Fieldglass), consolidates companywide open-headcount reporting across both FTE and contingent populations, and serves as the day-to-day point of contact for the NES (MSP) contingent workforce relationship.
ESSENTIAL FUNCTIONS, ROLES, AND RESPONSIBILITIES: Essential duties and responsibilities include the following.
Requisition & ATS Administration
â Post, update, and close job requisitions in the ATS across all Cactus Companies entities.
â Maintain ATS data quality — audit candidate dispositioning, requisition aging, and time-to-fill data for accuracy on a recurring basis.
â Partner with Recruiters to correct data-quality issues identified during audits.
Talent Systems Administration
â Serve as primary administrator for Cangrade, including assessment configuration, user access, and results reporting to hiring teams.
â Administer Fieldglass for contingent/profile worker tracking and reporting.
â Serve as a secondary system administrator/backup for the ATS as needed.
Contingent Workforce Coordination
â Assume ownership of contingent worker (CW) and profile worker (PFW) contract start dates, end dates, renewals, and extensions.
â Serve as the primary day-to-day point of coordination with NES (MSP) regarding onboarding status, contract changes, and workforce reporting.
â Coordinate and route approvals for new contingent worker requests and additional headcount requests in accordance with internal approval processes.
â Maintain accurate contingent workforce data in HR systems to support internal reporting and compliance reviews.
â Proactively flag contract renewal timelines and potential lapses in coverage or system access to the Talent Acquisition Manager.
Headcount Administration & Reporting
â Update approved FTE headcount changes in UKG and the recruiting log.
â Coordinate with the Onboarding to reflect headcount adjustments tied to offer creation or rescission.
Cross-Functional Support
â Provide administrative and reporting support directly to HR leadership as needed.
â Provide cross-functional support to HR, Recruiting, and Onboarding teams as business needs require.
â Special projects or assignments as directed by management.
EDUCATION, TRAINING, EXPERIENCE: Associate or Bachelor's degree preferred. Two (2)+ years of experience in HR/recruiting coordination, HR operations, or a similar administrative/systems role; or equivalent combination of education and experience.
CERTIFICATIONS, LICENSES, REGISTRATIONS: None required.
JOB KNOWLEDGE, SKILLS, ABILITIES:
â Experience with Applicant Tracking Systems (UKG Recruiting Gateway a plus).
â Experience with pre-hire assessment platforms (Cangrade or similar) a plus.
â Experience with vendor management systems (Fieldglass or similar) and/or contingent workforce/MSP coordination a plus.
â Strong attention to detail and comfort auditing data for accuracy and completeness.
â Solid experience with Microsoft Office Suite, particularly Excel.
â Ability to manage multiple systems, vendors, and stakeholders simultaneously.
â Strong written and verbal communication skills; comfortable working directly with senior HR leadership.
â Comfortable working with sensitive workforce data with discretion.
â High degree of initiative; able to work independently in a fast-paced environment.
